Subject Access Requests
Subject Access Requests – A response must be made within one calendar month starting from the date after we have received the request, or if your identity is unknown to us, when we have received all the information necessary to confirm your identity. We aim to respond to all requests as soon as possible within this timeframe. Where a response is complex and proving difficult to address, we may provide information that is available to us while continuing to work through additional information and in such cases the timescale for our full response may be extended by a further two months. The requester will be advised of this extension, and will receive an explanation of why the extension is necessary, within one month of the receipt of the request.
During school holiday periods, particularly the summer holidays where our schools will be closed for around six weeks, our ability to respond promptly to requests will be affected. Subject access requests made during school closures, principally the summer holiday period but also during other holiday periods, will not be actioned until staff return to work after the holiday. This is because the timeframe for a subject access request begins the day after the request is received by the school. The school will receive the request when the email is monitored. Where a request is made immediately before our schools break up for the holidays, staff will, where possible, seek to reply in full prior to the start of the holidays, but where a request is complex, the requester will be advised that due to time constraints, the school will take an extra two calendar months to fulfil the requests. Requests made during the school holidays may not be acknowledged until the school reopens after the holiday, as due to the school being closed, no one will be there to monitor emails, answer the phone or to pick up the post.
